Primary responsibilities, specific duties:
This is an administrative assistant position supporting the President of the Biomarkers and Personalized Medicine Core Function Unit (CFU). The administrative assistant will provide support to the Biomarkers and Personalized Medicine and Next Generation Systems CFUs. The administrative duties will include typing, correspondence, document preparation, processing expense reports, assembling and distributing monthly reports, maintaining orderly files, faxing, photocopying, scheduling meetings and appointments, and making travel arrangements.
  • Ensure meetings are scheduled and set up appropriately;
  • Arrange business travel for the Unit President and senior staff;
  • Assist with data and report collection;
  • Assemble and distribute monthly reports;
  • Provide support and correspondence with contracts;
  • Prepare documents and Powerpoint presentations;
  • Complete and process expense reports;
  • Provide daily administrative support, such as filing, faxing, photocopying and typing meeting minutes.

Knowledge/Skills/Abilities Required:
  • Bachelor's Degree or equivalent experience;
  • 5+ years experience supporting senior-level management;
  • Excellent administrative skills;
  • Proficient with Microsoft Office Suite applications (Word, Excel, Powerpoint) as well as Lotus Notes;
  • Strong organizational skills;
  • Excellent communication skills, preferably with the ability to speak Japanese.
