Executive Assistant to the Unit President | EISAI | Andover, MA

General Summary:
This position provides administrative support to the Unit President.
Principal Duties and Responsibilities
- Provide administrative assistance to the Unit President, as requested,
including heavy calendar management, requiring interaction with both
internal and external executives and assistants, as well as consultants,
to coordinate a variety of internal and external executive meetings.
- Process in-house requests for publication of scientific abstracts,
papers/manuscripts, and presentations at professional conferences.
Coordinate the review and approval of each request in a timely manner to
meet deadlines for submission.
- Responsible for making domestic as well as international travel
arrangements for Unit President and his direct reports. Assist with
local transportation and/or hotel accommodations, when needed, for
unit's staff members visiting the U.S. from Japan or India.
- Work with other executive assistant(s) as needed to coordinate travel
schedules when several units' staff are traveling to the same
destination for the same purpose (business meetings, conferences, etc.)
- Arrange off-site meetings or events for the unit as may be required.
- Provide logistics assistance to Andover site administration executive
assistant for large-scale company meetings such as All Employee
Meetings.
- Provide assistance, as needed, to Japanese expatriates who may work in
Andover for short- or long-term periods for training purposes or who
will be here to share their knowledge with our employees. An
understanding of both the American and Japanese cultures and the ability
to speak and write Japanese will be required to effectively communicate
and coordinate logistics, housing and transportation needs.
- Facilitate, as needed, the communication flow during professional
meetings with Japanese partners.
- Assist Unit President with expense reconciliation.
Job Qualifications
JOB REQUIREMENTS:
The ideal candidate will be experienced in handling a wide range of
administrative and executive support related tasks and will be able to
work independently with little or no supervision. The ability to
effectively interact with staff at all levels in a fast-paced
environment, sometimes under pressure, remaining flexible, proactive,
resourceful and efficient, with a high level of professionalism and
confidentiality is crucial to this role. Expert level written and verbal
communication skills in both English and Japanese, strong decision
making ability and attention to detail are equally important. Outside
interfaces include other Eisai units in the U.S. and abroad,
governmental, community and industry organizations.
- High school diploma, (college education and exposure to the sciences
desirable) plus 10+ years of experience with demonstrated mastery of all
secretarial and administrative skills, preferably at an executive
administrative level.
- Excellent Japanese and English language skills, both oral and written
as well as knowledge of Japanese culture.
- Proficiency in MS Office, including PowerPoint, Lotus Notes.
- Must be self-starter with the ability to multi-task, work with a high
level of initiative; must possess excellent project planning and
priority setting skills, as well as excellent organizational and
interpersonal skills.
- High level of accuracy and attention to detail.
- Flexibility to accommodate to rapidly changing priorities and
deadlines.
