An Executive Assistant position is available in Corporate Technology
Management (CTM), located in Newark, NJ. This position will provide
primary support to the VP of the Production Management group in CTM.
This position requires an individual who is highly organized, has
exceptional written and verbal communication skills, is detail oriented
and is able to handle sensitive information and multiple projects
simultaneously under tight deadlines. The assistant is expected to
provide a high level of daily support, which will include anticipating
what the executive will need in advance of meetings and phone calls, and
full responsibility for managing a complex calendar. Taking initiative
and always being one step ahead is critical. The assistant will also
review the business head's e-mail and paper mail daily and recommend or
take appropriate action.
REQUIREMENTS:
- Japanese language skills required.
- Superior interpersonal and communication skills.
- Proficient with Microsoft 2007, especially Word, Excel and Powerpoint.
- Excellent knowledge of Lotus Notes calendaring is a requirement.
- Exceptional organizational skills and the ability to maintain an
excellent internal and external follow-up system.
- Scheduling meetings and handling all meeting logistics, e.g. conference
rooms, conference calls, preparing meeting materials, etc.
- Providing other administrative assistance as may be deemed necessary or
appropriate, e.g. ordering supplies, attendance recordkeeping.
- Ability to coordinate and process all aspects of travel arrangements
and general and travel expense vouchers. Must possess a solid knowledge
of the Corporate Expense Guidelines.
- Ability to work both independently and as a member of a team.
- Support principal's direct reports which may include scheduling
meetings, handling travel arrangements and submitting expenses.
- Proven track record for being able to handle sensitive information and
maintain confidentiality.
- Strong work ethic - follows through on commitments and is reliable and
consistent in his/her dealings with associates at all levels.
- Priorities change frequently and assistant must have a high degree of
flexibility and the ability to easily change course midway through a
project.
- Overtime may be necessary during peak work cycles.
